how-to-tailor-resume-to-job-description-liberty-staffingJob searching can be frustrating. You send out resume after resume and hear nothing back. It is easy to assume the problem is a lack of experience or tough competition, but often the issue is much simpler. Your resume may not be making it past the first gatekeeper — and that gatekeeper is not even human. Most companies today use applicant tracking systems, or ATS, to filter applications before a recruiter ever sees them. Here is how to tailor your resume to a job description in a way that gets you through the software and onto the right desk.

Why Sending the Same Resume Rarely Works

A generic resume is easy for ATS software to overlook. These systems are designed to scan for specific terms, skills, and qualifications that match the job posting. If your resume does not reflect the language the employer used, it may be filtered out automatically, even if you are perfectly qualified for the role.

Many candidates do not realize this is happening. They assume the silence means they are underqualified. Often, it just means the right words were not in the right places.

4 Things That Make a Resume ATS-Friendly

Getting past an applicant tracking system comes down to how you tailor your resume to a job description with intentional language.

1. Start with the Job Posting

Read it carefully and look for skills that appear more than once, specific tools or software mentioned, required certifications or training, and language used to describe daily responsibilities. These repeated terms are signals of what the ATS has been programmed to look for.

2. Mirror the employer's language

If the posting says "inventory management," do not write "stock control" even if they mean the same thing. ATS software often matches exact phrases, so using the employer's own terminology gives your resume the best chance of being recognized as a strong fit.

3. Incorporate Keywords Naturally Throughout

Do not just load keywords into a skills section at the bottom. Weave them into your summary, your work history descriptions, and your skills section so they appear in context. ATS systems are becoming more sophisticated and can assess whether keywords are being used meaningfully.

4. Be Specific with Your Experience

Vague descriptions are easy for both software and humans to skip over. Concrete details about productivity, timelines, volumes handled, or equipment operated give the system more to match against and give the hiring manager more reason to call you.

Can AI Help You Beat ATS?

AI tools have become a popular part of the job search process, and when it comes to ATS optimization, they can be a genuinely useful starting point. An AI tool can help you quickly identify the most repeated keywords in a job posting, suggest ways to rephrase your experience using more relevant language, and flag gaps between your current resume and the role you are targeting.

That said, AI works best as a helper, not a replacement for your own judgment. Always review what it produces and make sure your resume still accurately reflects your real experience. Recruiters are skilled at spotting language that feels generic or overly polished, and once your resume clears the ATS, it still needs to connect with a real person.

What ATS Systems Actually Look For

Different roles trigger different keyword priorities, and understanding this can help you tailor more effectively.

For manufacturing and production positions, ATS filters often flag terms related to safety compliance, machinery operation, and process familiarity. For warehouse roles, keywords around equipment certification, order fulfillment, and physical capability tend to carry weight. For office and administrative positions, software proficiency, communication skills, and accuracy are commonly scanned terms.

Knowing what matters for your target role helps you prioritize which parts of your resume to update first.

Formatting Matters Too

Even a perfectly keyworded resume can get rejected by ATS if the formatting confuses the system. Stick to a clean, simple layout. Avoid tables, text boxes, headers and footers, and unusual fonts. Use standard section headings like Work Experience, Skills, and Education. Save your file in the format the employer requests, typically Word or PDF.

A resume that is easy for software to read is also easier for a recruiter to read once it lands in front of them.
